Managing Organizations
Under their individualized UJS Web Portal accounts, Access Management Users (AMUs) have a unique option under the My Services menu called 'Manage Organizations'. Selecting this option allows authorized individuals to access the proxying details for their designated organization. Some or all of the following sections may appear:
Organization Users grid
The most important of the three sections, this grid displays a list of all the PACFile-registered individuals who currently serve as proxies for the AMU's organization and provides the tools to edit those relationships or establish new ones.
Each individual is eligible to have any of the following proxy rights:

Access Management User - The assignment of this right establishes an individual as an AMU and provides the ability to assign any combination of proxy rights to new or existing members of the organization. The use of this option is limited. Some AMUs have the authority to assign this privilege to other members of the organization and thereby create other AMUs. Otherwise, all new AMUs must be administered by the AOPC.

Create Initiating Filings - Provides the authority to create new case action filings on behalf of the organization. This does not include the authority to approve or submit the filing.

Create Ancillary Filings - Provides the authority to create filings on existing cases on behalf of the organization. This does not include the authority to approve or submit the filing.

Approve Filings - If your organization requires a submitter to seek supervisory approval before submitting a filing, this checkbox designates these roles. This checkbox should be selected for approvers and deselected for any applicable submitters. If your organization is not using an approval process, this right must be granted to all proxies who also have the Submit Filings privilege.

Submit Filings - Provides the authority to submit and pay for any filing created on behalf of the organization. This does not include the authority to create or approve a filing. Filings cannot be submitted by a proxy without both the Approve Filings and Submit Filings privileges.

Is Attorney At - Indicates that the corresponding individual is a practicing attorney at the organization and is authorized to file specific documents that would not otherwise be available to other electronic filers. The use of this checkbox is extremely limited and does not apply to most organizations.
Separately, proxies can also be authorized to receive some or all of the Dashboard notifications where the organization is the designated recipient.
Proxy requests can be created by the AMU unilaterally or based on a request from a PACFile-registered individual. Commonly, AMUs establish the initial list of eligible proxies soon after the organization is created in PACFile.

Adding a Proxy |

In the Manage Organization screen, click the Add New Record icon above the Organization Users grid. |

In the Add Organization User screen, click on the Search By dropdown and select Name. Tip: You can also select 'Attorney' if the proxy has a Pennsylvania bar number. You can enter the bar number and skip to Step 6. |

Click in the Last Name and First Name fields and enter the proxy's name. Tip: Be cautious of nicknames since the search you are performing is based on the specific names associated with active UJS Web Portal accounts. |

Click in the City field and enter the location of the proxy. The city typically pertains to the location where the individual works. |

(Optional) The State field defaults to Pennsylvania. Update this value if necessary. |

Click the SEARCH button. After a few moments, search results will display. |

Click the checkbox that appears to the left of the appropriate individual. |

Click the SUBMIT button. If a popup appears indicating that your changes have been saved, click the OK button. |

In the Organization Users grid of the Manage Organization screen, click on the Edit User Proxy Rights icon appearing to the right of the proxy you just added. |

In the Manage User Proxy Rights popup, choose the permissions for the proxy by selecting the appropriate checkboxes. |

Click the SUBMIT button. If a popup appears indicating that your changes have been saved, click the OK button. |

In the Organization Users grid of the Manage Organization screen, click on the Edit User Notifications icon appearing to the right of the proxy you just added. |

In the Manage User Proxy Rights popup, select the checkboxes for the types of notifications that the proxy should receive. Tip: These represent the notifications that the proxy will receive via e-mail and through their Dashboard. |

If the proxy rights for an individual ever need to be removed, click the Delete icon that appears to the far right of their name. Following removal, this proxy relationship can be recreated at any time using the steps listed above.

Pending User Requests
After the initial list of proxies is created, individual requests may be created as new employees join an organization. These requests can be completed by the new proxy, after they register for a UJS Web Portal account, by navigating to the Manage Account screen through the User Options Menu icon User Option Menu icon . This process sends an e-mail to the AMU and directs them to log into the Web Portal and access the 'Manage Organizations' option under the My Services menu.
The prospective proxy appears in the Organization Users section of the Manage Organization screen and some basic identifying information displays for the individual. To approve or deny the request, click the appropriate icon appearing next to their name. If approved, specific rights can be assigned to the proxy using the same steps described for above.
Organization Details section
This section displays the address information for the organization. When creating a proxy request, this address is used by prospective proxies to help locate the organization within PACFile. These address details are read-only (not-editable) and can only be updated by contacting the AOPC through the UJS Portal's Help Center.
